Job Purpose:

We are looking for an experienced legal secretary to join a busy and expanding private client department within our well-established, Nottingham-based law firm. To support the staff at Smalley’s Solicitors in the provision of office duties to the practice by providing competent and efficient Legal Secretarial duties.

  • Opening files, conducting conflict checks and preparing compliance documentation
  • To support the Head of Department and fee earners in the management of their workload, ensuring that the priorities of the department are met and files are managed effectively, to include diarising key dates upon request
  • To deal directly with clients in relation to file related queries either face to face or by telephone, ensuring that clients are dealt with efficiently and politely and that legal matters are raised with the fee earner where appropriate
  • Providing quotes from prospective new clients
  • Dealing with routine correspondence/incoming emails/post
  • Typing up legal documents, preparing forms and applications
  • Performing occasional legal research
  • To assist in general office administration including sending emails, filing, undertaking photocopying, organising diaries, making appointments with clients, answering/making telephone calls and taking messages.
  • To ensure that all internal methods, systems, policies and procedures are adhered to
  • To manage own work allocation, productivity and quality of work with minimum supervision
  • Self-motivated and organised, requires minimal supervision.
  • Copes effectively in demanding/sensitive circumstances.
  • Good time management, adopting a flexible approach to work.
  • Demonstrates persistence and commitment to completing tasks and objectives.
